Build your monthly minimum

Monthly cash needs and planning assumptions, in US dollars

Rent, payroll and other fixed payments. Exclude the amounts entered separately below.

Monthly principal and interest. Count each payment once.

Monthly cash pay or draw, if it isn’t already in fixed costs.

Costs that grow with collections, excluded from fixed costs. Enter 0 to leave them out.

Open days this month. This same number sets your monthly minimum per day and the pace check.

A number to aim for. It is shown next to your monthly minimum and does not change it.

Monthly cash cushion optional

An amount above the cash needs entered here. This is not a profit-margin percentage.

Check this month’s pace optional

Uses the working days above, so your monthly minimum per day and the pace check stay on one number.

What the practice has collected this month. Aggregate dollars only.

How many of those working days have already passed. Use 0 if none have.

Calculator figures stay on this page. They are not saved or sent. Your name, email, and role are saved only if you choose to subscribe.

“I used to see my numbers after the money was gone.”

That’s why I want a plan before the month starts. Bring this estimate to your accountant. Agree on what’s included, what your practice needs to collect, and who does what by when.

Bring these questions to your accountant

  • Have we included owner pay and counted each debt payment only once?
  • Which costs actually change as collections change?
  • What about taxes, irregular expenses and when payments are due?

Leave with: one agreed monthly minimum, a named next step and a date to revisit it.

How the estimate works

Your monthly minimum = (fixed cash costs + debt payments + owner pay + cash cushion) ÷ (1 − variable-cost percentage ÷ 100).

Every collected dollar first covers the variable-cost share you enter. The remainder covers the monthly cash needs above. Your monthly minimum is rounded up to the next dollar. Optional amounts left blank are excluded and identified in the summary.

Count every payment once. If owner payroll or loan interest is in your fixed costs, remove it there before entering it separately. This simplified model assumes a stable variable-cost share. It does not calculate taxes, accounting profit or a detailed cash-flow forecast. Work with your accountant on costs and timing that this estimate does not cover.

The contribution-margin approach is explained in the SBA’s break-even calculator (opens in a new tab). This tool adapts that approach for your selected cash needs; it is not an SBA tool or an endorsement.

Use aggregate figures only. This tool has no patient-record or file-upload fields.
